Scent Design Operations Coordinator

Responsibilities

Maintain cleanliness and organization of all evaluation spaces, including sink room, booths, and evaluation salon
Ensure towels, foamers, swatches, and sensory tools are clean, stocked, and ready for use
Prepare evaluation materials, including booth setup, dilutions, foamers, and required documentation
Assist with arm washes for PW projects
Manage and track inventory of evaluation packaging and supplies
Support panel testing by requesting samples, preparing and running evaluations, and consolidating results
Maintain the evaluation calendar, manage team invitations, and ensure scheduling alignment
Coordinate salon hair-washing sessions by:
Booking time slots
Communicating
Recruiting internal volunteers
Preparing required materials
Order market samples for evaluations, CPAs, and foreign requests
Retrieve market products for customer presentations and ensure proper return and storage
Maintain and organize the market samples room, including managing an updated tracking system
Ensure all market samples are labeled with accurate purchase dates and documentation
Prepare materials for smelling sessions related to new launches and Gallery updates
Partner with Marketing to gather product and brand information
Order relevant market products for Gallery updates and internal reviews
Prepare evaluation sheets, blotters, and supporting documentation for use
Capture session notes, organize insights, and upload information into the Gallery system
Assist with smelling sessions for new Fragrance launches received by the team
Support the Consumer Fragrance team with designated sessions as needed
Prepare, organize, and document materials, blotters, and session outputs for reference
Maintain team time-off schedules, ensuring visibility and workload alignment
Ship non-project-related international parcels, including preparing documentation, coordinating carriers, and tracking deliveries
Order and maintain general office supplies for the team
Coordinate shipping tax payments for international samples received

Required
