Business Operations Specialist- MCG-Clinical & Trans Sci

The Business Operations Specialist will work with various directors and managers to ensure financial stability in clinical research studies, including budget management and financial reporting.

Responsibilities
Assist the Business Manager & Clinical Translational Finance Director with all financial activities in relation to other departments (i.e. contracts, service agreements, educational development, travel, and other research-related areas)
Assist with budget management and provide efficiencies in the department to reduce expenditures if necessary
Development of study invoices, study budgets, payment of internal invoices, OnCore related requests, and Effort certification
Using various systems (Oncore, ILAB etc.) monitor, maintain, and reconcile all financial activity related to Clinical Trials Office clinical studies including pulling monthly financial reports (budget transaction detail, appropriation status, and project grant status)
Review MC and AUMA bills for accuracy and completeness
Prepare and meet with CTO management and investigators when necessary to discuss financial related matters
Work with management to prepare budget reports and help eliminate budget checking messages when needed
Assist and provide oversight for all NIH grants and their affiliate sites, and industry sponsored studies (including extramural routing, budget preparation, and completing grant/study renewals)
Prepare monthly and bi-weekly uploads for staff effort reporting for clinical studies
Responsible for setting up and managing studies in the Greenphire (ClinCard) system, reviewing waiver requests, and authorizing manual payments
Conduct Greenphire training for new & existing users
Customer support to include working with the vendor to troubleshoot compensation issues
Prepare monthly journal reconciliation and uploads for the controller's office
Assist the Controller with yearly reconciliation information for IRS tin matching
Coordinate with the staff to order study and departmental supplies needed for daily operations
Perform all other job-related duties as assigned
Qualification
Required
Bachelors degree in Business Administration or a related discipline and 1 year administrative and/or management experience
OR
Associates degree and 2 years of relevant experience
OR
High school diploma and 3 years of administrative and fiscal management experience
Proficient in Microsoft Office and other computer software/databases
Knowledge and direct experience in financial and budgetary practices, fiscal data administration as well as compliance and records management
Excellent customer service, interpersonal, multi-tasking, organizational, written, and verbal communication skills
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions
