Administrative Technical Lead – Program Support

Motus Recruiting and Staffing is seeking an Administrative Technical Lead for their client, a leading Pacific Northwest utility provider. This role will provide leadership-level program, project, and administrative support to the Transmission Infrastructure Asset Management organization, directly supporting the Director and coordinating with various teams.

Responsibilities

Serve as the technical administrative lead for the organization, providing direction, mentorship, and process guidance to a team of 16+ administrative professionals
Lead and support enterprise-wide performance management processes, including tracking evaluations, managing workflows, generating reports, resolving system issues, and ensuring compliance with established timelines
Provide program oversight for employee training, engagement initiatives, recognition programs, and medical surveillance tracking, including data analysis, reporting, and process improvement
Analyze staffing data and support workforce planning efforts, partnering with leadership and Human Resources to align staffing strategies with organizational priorities
Coordinate and manage executive-level daily operations, including complex calendar management, meeting facilitation, action item tracking, correspondence review, and executive communications
Develop, maintain, and improve tracking systems, dashboards, and reporting tools to ensure timely compliance with performance, staffing, training, and operational requirements
Oversee SharePoint administration and document management systems, maintaining content, permissions, records compliance, and standardized operating procedures
Provide travel compliance oversight, process travel authorizations and reimbursements, and conduct internal audits to ensure adherence to federal travel regulations
Support timekeeping and payroll processes, including reviewing and validating time entries, leave documentation, and contractor timesheets across multiple systems
Coordinate onboarding, offboarding, reorganizations, office moves, asset tracking, and cross-functional administrative workflows with IT, HR, Safety, Facilities, and related teams
Draft, review, and edit executive-level correspondence, presentations, reports, and policy documents to ensure accuracy, professionalism, and compliance with administrative standards
Serve as a central liaison across organizational teams, proactively identifying process gaps, standardizing administrative procedures, and driving continuous improvement initiatives

Required

A degree in Business Administration, Business Management, Business Operations (or closely related field) is preferred
With an applicable Bachelor degree, 2+ years of experience is required
With an applicable Associates degree, 4+ years of experience is required
Without an applicable degree, 6+ years of experience is required
Experience should be workplace experience in mid/high-level, process-driven Customer Service or Operational Support positions is required
Experience with SharePoint enough to create, customize and edit SharePoint sites and lists is required
Intermediate to advanced proficiency with MS Outlook, OneNote, PowerPoint, Word and Excel is required
Demonstrated editing and proofreading skills
Verbal and written communications skills with demonstrated tact, diplomacy and discretion

Preferred

Familiarity with Visio and MS Project is preferred
