Responsibilities
Provide administrative and technical assistance to the Division Project Development unit
Gather, analyze, edit, and report information for the various functions and responsibilities assigned to the unit
Support in the preparation of contract documents, bidding/award process, purchase order creation, and contract execution
Collect and edit confidential reports, proposals, and consultant submittals
Responsible for the payment and tracking of all invoices in coordination with Project Managers
Monitor funding, contract, and purchase order balances to prevent overdrafts
Receive inquiries from citizens and other external customers and coordinate with Project Development staff to provide timely responses
Assist with all the unit personnel tasks including but not limited to attending HR trainings, onboarding, and SAP role requests
Qualification
Required
High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience
Strong computer literacy and the ability to learn new systems quickly
Experience reviewing detailed documents and records for accuracy and completeness
Experience with Microsoft Office using programs such as Access, Word, and Excel
Experience completing and/or maintaining records and reports
Experience interpreting and/or explaining policies, procedures, and laws
Data entry experience entering and extracting information from a mainframe database or web based
