Project Administrator

Sargent is seeking a Project Administrator to provide comprehensive administrative and project support across several larger job sites within the region. The role involves managing project documentation, coordinating administrative processes, and supporting project and safety activities, with a focus on larger, complex projects.

Responsibilities

Provide day-to-day administrative support for multiple large projects within the region
Assist PXs, PMs, and Project Engineers with project documentation, reporting, and coordination tasks
Prepare, track, submit, and distribute project paperwork to and from the General Contractor (GC), owners, and subcontractors
Maintain organized project files (digital and/or hard copy), ensuring documents are current and properly archived
Support contract administration activities, including tracking contracts, change orders, RFIs, submittals, and other project records
Assist with document control for submittals, shop drawings, RFIs, meeting minutes, and correspondence
Help ensure compliance with project documentation requirements and internal processes
Perform select Project Engineer support tasks with an administrative emphasis
Assist with tracking project schedules, logs, and deliverables as directed by project leadership
Support coordination between field teams, office teams, and external stakeholders
Assist safety personnel and project teams with safety documentation, reports, and recordkeeping
Support onboarding paperwork, orientations, and other safety-related administrative requirements
Help ensure required safety documents are submitted, tracked, and up to date
Serve as a regional resource, flexing between projects based on workload and priority
Assist with meeting preparation, agendas, minutes, and follow-up items
Provide additional administrative or project support as needed to keep larger job sites running efficiently

Required

Minimum High School Diploma or GED; associate degree in accounting preferred
2+ years of experience in construction administration, project coordination, contract administration, or a similar role
Familiarity with construction project documentation and processes (RFIs, submittals, change orders, contracts, etc.)
Proficiency in Microsoft Office and common construction management software (e.g., Procore, Bluebeam, or similar preferred)
A valid driver's license with clean driving record is required
Excellent listening, written, and verbal communication skills
Detail-oriented, proactive, and comfortable supporting multiple levels of project leadership
Strong organizational skills with the ability to manage multiple projects and priorities simultaneously
Strong communication skills and ability to work effectively with field and office teams
Ability to travel to work sites required on an as-needed basis
Flexibility to support varying project demands
The ability to sit or stand for extended periods
The ability to lift up to 15 pounds at times

Preferred

Associate degree in accounting
Proficiency in common construction management software (e.g., Procore, Bluebeam, or similar)
