Project Management Specialist

Responsibilities
Help design, refine, and maintain internal project management systems and workflows
Improve how software projects, campaigns, and operational work are tracked, reported, and executed
Create and maintain documentation that ensures consistent internal processes
Develop dashboards or lightweight visual tools to communicate project status, milestones, and timelines
Identify inefficiencies in current systems and implement scalable improvements
Build and maintain automations that reduce manual work and improve reliability
Work with tools like Zapier, Make.com, Airtable automations, n8n, or similar platforms
Support integration workflows between CRM systems, outreach tools, internal databases, and reporting systems
Assist in defining requirements for API-driven improvements, internal tools, and system enhancements
Collaborate with technical teammates on workflow automation, internal tooling, and deployment coordination
Support active client projects from kickoff through completion
Maintain clear, professional communication with clients throughout campaigns
Ensure project data, outreach lists, and timelines are accurate within CRM and internal systems
Execute customized client outreach primarily via email, with occasional phone calls
Coordinate timelines for larger or multi-stage projects
Format, review, and upload client data and campaign inputs
Serve as a bridge between client-facing execution and internal technical systems
Assist with internal data organization, operational reporting, and system hygiene
Support contract, receipt, and subscription tracking
Contribute to internal tooling, automation, and marketing improvement initiatives
Help ensure consistent execution across clients, systems, and internal teams
Qualification
Required
Strong organizational skills and attention to detail
Clear, professional written communication skills
Comfort working with systems, timelines, documentation, and structured data
Ability to think critically about workflows and suggest improvements
Interest in automation, operations, and software-enabled business systems
Ability to communicate effectively with both technical and non-technical teammates
Comfort learning new tools quickly in a fast-moving environment
Preferred
Familiarity with automation platforms like Zapier, Make.com, n8n, or similar
Comfort working with APIs, integrations, or webhooks
Familiarity with JavaScript and/or TypeScript
Exposure to AWS or cloud-based infrastructure
Understanding of software architecture concepts and modern SaaS workflows
Experience supporting software development pipelines, deployments, or CI/CD processes
Experience working closely with developers, technical teams, or product workflows
Interest in building scalable internal tools and systems over time
