Executive Assistant

Responsibilities

Partner closely with the Executive Director on inbox management, email triage, and follow-ups
Draft and respond to correspondence in the ED's voice with attention to tone, intent, and audience
Coordinate scheduling and calendar logistics with an understanding of priorities and context
Track commitments and ensure timely follow-through
Serve as one of the first points of contact for people reaching out to WBW
Manage a general inbox, digitized mail, and voicemail
Respond independently to routine inquiries while routing more nuanced or sensitive matters appropriately
Maintain clear, timely, and professional communication with students, families, volunteers, donors, and partners
Support filings, applications, documentation, and donor acknowledgments
Coordinate with external partners, including the campuses that host WBW programs
Assist with foundational operational work that supports organizational continuity and growth
Help prepare materials and resources for WBW programs
Provide onsite logistical and administrative support during summer programs
WBW currently runs three in-person programs across Washington State each summer (periodic in-person support during these programs is required)

Required

Washington State residency required
Demonstrated experience supporting a senior leader in an executive assistant or similar capacity
Proven experience coordinating administrative and operational work
Strong written communication skills
Discretion and good judgment
Ability to work independently in a small, evolving organization
Comfortable drafting correspondence on behalf of others
Detail-oriented work
Experience managing inboxes and scheduling
Ability to maintain clear, timely, and professional communication with various stakeholders

Preferred

Experience in nonprofit operations, or startup environments
