Event Operations Coordinator

Questex is a leading global events, media, and business information company, and they are seeking an Event Operations Coordinator to join their Event Performance Team. The role involves maintaining communication with exhibitors regarding show orders and on-site logistics to ensure customer needs are met, as well as supporting various operational tasks for events.

Responsibilities

Maintain communications with exhibitors regarding show orders and on-site logistics and to ensure the customers’ needs are being met
Support in building the Exhibitor Kit on the Event Website
Edit the GES exhibitor manual
Send email communications to exhibitors from A2Z
Work with Insurance provider to ensure all exhibitors have submitted insurance documents
Manage the booth approval process including:
Tracking submissions
Reviewing Booth Approval Forms
Managing the booth review call scheduling process
Attend Booth Review Calls & take notes
Send post call email with action items, contact information and critical notes
Maintain the A2Z Database and floorplan including regular audits to ensure we have the most up to date information
Maintain a master timeline of operations action items, with weekly/monthly updates as needed
Manage other tasks as assign by Operations Manager/Director

Required

Strong interpersonal skills, extreme attention to detail, and ability to manage stress well
Microsoft Office proficiency
Accurate data entry skills, problem solving ability and the ability to demonstrate initiative and work independently
Ability to elicit cooperation from a wide variety of sources, including management, clients, other departments and vendors
Display confidence, professionalism and accuracy when dealing with internal/external clients
Bachelor's degree in a related field
Minimum 2-4 year's work experience in the event/conference planning space preferred, or in a position with a focus on customer service
Exceptional communication skills, both written and verbal
Strong team player and ability to work well with others
