Functional Project Management Assistant
Newbury Enterprise Services is an expanding consulting and software company that provides creative solutions for PeopleSoft, Oracle Cloud, AI-powered automation, and enterprise systems. The Project Management Assistant will provide day-to-day project coordination and administrative support to the Elevate Project Management Office during the Implementation Phases of the Initiative, focusing on tracking deliverables and maintaining project documentation.
Responsibilities
Support coordination of activities across Elevate workstreams, including Record-to-Report (R2R), Source-to-Pay (S2P), Invoice-to-Cash (I2C), Invoice-to-Pay (I2P), Acquire-to-Retire (A2R), Project-to-Close (P2C), and Plan-to-Budget (P2B)
Assist in maintaining project plans and schedules, tracking milestones, dependencies, action items, and risks using Azure DevOps and/or Microsoft Project
Support multi-phase release activities (Confirm, Design-Build, Test, Deploy, Sustain/PGLS) by tracking deliverables and helping ensure deadlines are met
Prepare meeting materials, agendas, notes, and follow-ups for project meetings, workshops, and governance forums
Assist with coordination of testing activities (SIT, UAT, regression, performance), including scheduling sessions, tracking defects, and maintaining status logs
Support cutover planning, go-live readiness activities, dry runs, and post-go-live support coordination
Maintain project documentation, including RAID logs, decision logs, RACI matrices, and status reports
Support preparation of weekly and monthly status reports, dashboards, and presentations for project leadership and governance bodies
Coordinate with Change Management teams to support communications, training schedules, and adoption tracking activities
Help ensure project activities follow established governance processes, confidentiality requirements, and data access protocols
Qualification
Required
Bachelor's Degree in Business Administration, Finance, Information Systems, or a related field
2–4 years of experience supporting projects or programs, preferably in an IT, finance, or transformation environment
Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
Experience working in cross-functional team environments
Preferred
Exposure to enterprise systems implementations (ERP, EPM, or similar)
Familiarity with project management tools such as Azure DevOps, Microsoft Project, or similar platforms
Basic understanding of finance or accounting processes
Experience supporting testing, deployment, or change management activities is a plus
Strong written and verbal communication skills with attention to detail
Proficiency in Microsoft Office (Excel, PowerPoint, Word)
