Executive Assistant
Hightop Development is a leading real estate investment company specializing in various property types in the Greater Philadelphia area. They are seeking an Executive Assistant to directly support the CEO by managing daily logistics, scheduling, and communication with various stakeholders.

Responsibilities
Own and manage the CEO's calendar - scheduling, rescheduling, canceling, and resolving conflicts across internal teams, attorneys, lenders, contractors, and tenants
Book and coordinate all travel - flights, hotels, ground transportation, conference registrations
Chase signatures and track documents - leases, contracts, LOIs, permits, closing docs
Handle back-and-forth with vendors, insurance brokers, consultants, and service providers
Compile materials for lender updates, investor communications, and legal matters
Coordinate board activities and community engagements
Deal with the thousand small logistics that feel quick in the moment but never stop coming
Qualification
Required
3–5+ years as an Executive Assistant, preferably supporting a CEO/founder in real estate, finance, or a fast-moving entrepreneurial environment
Obsessively organized with a system for everything
Exceptional written and verbal communicator who can represent the CEO professionally
Highly discreet - you'll touch sensitive financial, legal, and business information daily
Proactive - you anticipate problems before they surface
Tech-savvy and comfortable with modern productivity tools and AI-powered workflows
Comfortable with shifting priorities across property management, development, leasing, and other tasks
