Sales Manager – Intake Operations (Bi-Lingual)

The Sales Manager – Intake Operations is responsible for leading a high-volume inbound sales team, optimizing processes, and improving performance metrics to ensure effective case conversions.

Law Practice

Responsibilities

Lead, coach, and supervise Intake Specialists, QA analysts, openers, and future support staff
Set and manage performance expectations (KPIs: conversion rate, schedule rate, call attempts, contact rate, evidence capture, case acceptance rate, retainer signed rate, time-to-contact, etc.)
Run weekly 1:1s, performance reviews, and implement coaching or corrective plans
Manage staffing schedules to ensure coverage across time zones and peak inbound hours
Own the full intake funnel from first contact through attorney handoff
Maintain, refine, and enforce SOPs for all intake functions
Improve scripts, discovery flows, objection handling, and closing techniques
Oversee workflow automation across CRM, Slack, email, and AI-assisted tools
Implement feedback loops with referral partners to continually improve qualification criteria
Ensure intake scripts and documentation meet internal standards and applicable compliance requirements
Conduct call audits and documentation reviews
Enforce standardized note-taking, evidence collection, and decision logic
Build and maintain onboarding and training materials (scripts, call flow guides, playbooks)
Train new hires on discovery, qualification, empathy, and closing techniques
Run ongoing coaching and quarterly refreshers based on performance data
Track and report intake performance metrics to leadership
Analyze trends in conversion, rejection reasons, and operational bottlenecks
Communicate updates clearly via Slack, SOP updates, and training sessions

Required

3+ years in sales management, call center leadership, revenue operations, or customer service management
Proven experience managing inbound or high-volume phone-based teams
Strong understanding of performance metrics, funnels, and conversion optimization
Experience with CRM systems (any platform; legal CRMs like LeadDocket are a plus)
Excellent communication and coaching skills
Comfortable balancing speed, empathy, and structured qualification

Preferred

Experience in legal intake, legal services, or working with law firms
Background in employment law, personal injury, or mass torts
Bilingual (English/Spanish)
Familiarity with automation tools (Zapier, workflow builders, call tracking, AI tools)
Experience building scripts, QA scorecards, or sales playbooks
