Executive Administrative Assistant (EA)
Responsibilities
Manage the CEO’s calendar, travel, and scheduling across multiple time zones, ensuring alignment with top priorities
Anticipate needs, proactively resolving conflicts and optimizing time allocation
Prepare daily/weekly agendas, briefing materials, and meeting summaries
Track action items from CEO meetings and ensure follow-up with stakeholders
Serve as primary point of contact between the CEO and internal/external partners
Draft, edit, and coordinate executive communications as needed
Manage correspondence with senior leaders, board members, and external partners
Exercise sound judgment in handling sensitive and confidential information
Coordinate leadership meetings, executive offsites, and global operating forums
Handle complex domestic and international travel arrangements
Support preparation for board meetings, including materials organization and logistics
Partner with the Chief of Staff and leadership team to ensure meetings are well-structured and outcome driven
Provide limited administrative and coordination support to select executives to enable effective collaboration, leadership alignment, and execution of enterprise priorities
Support shared leadership activities such as executive meetings, operating rhythms, transformation cadences, and cross-functional initiatives
Assist with coordination of calendars, meetings, and travel when executives are working together on major initiatives
Help organize materials and logistics for leadership forums and strategic projects
Maintain flexibility to adapt support based on evolving business needs while ensuring the President & CEO remains the priority focus
Help maintain operating rhythms by supporting cadence meetings, reviews, and key leadership processes
Organize documents, presentations, and reference materials for easy access
Support special projects and transformation initiatives as needed
Improve administrative systems and workflows to increase efficiency
Build strong working relationships across regions and functions
Act as a culture carrier, modeling professionalism, responsiveness, and collaboration
Represent the CEO with warmth, credibility, and discretion
Qualification
Required
High School diploma required
7+ years supporting senior executives in complex fast-paced organizations
Exceptional organizational and time-management skills
Strong written and verbal communication
High attention to detail with the ability to manage multiple priorities simultaneously
Excellent judgment and discretion with confidential information
Proficiency with Microsoft Office/Outlook/Teams/Power Point
Ability to operate effectively across cultures and time zones
Calm, solutions-oriented mindset under pressure
Ability to flex between dedicated CEO support and selective executive coordination while maintaining clear priorities
Preferred
Undergrad preferred
Experience working in global or matrixed environments strongly preferred
Exposure to executive-level stakeholders and board interactions a plus
Experience supporting transformation or high-growth environments preferred
