Customer Service Representative / General Administrative Assistant

Responsibilities

Respond to customer inquiries via phone, email, and chat in a timely and professional manner
Perform general office duties including filing, data entry, scanning, document preparation, and scheduling
Maintain and update customer records, databases, and internal systems
Schedule meetings and appointments; manage calendars as needed
Prepare and distribute correspondence, memos, and routine reports
Assist with basic bookkeeping, record-keeping, and data tracking
Provide administrative support to multiple departments as required
Support other administrative staff to ensure smooth office operations
Resolve customer issues and complaints efficiently while maintaining a positive, empathetic approach
Maintain accurate records of customer interactions and service activities
Follow up with customers to ensure satisfaction and issue resolution
Collaborate with team members to improve customer service processes and workflows

Required

TS/SCI w/ Poly Clearance is required
High school diploma or equivalent
Minimum of 2-4 years of experience in customer service, administrative support, or office operations
Strong written and verbal communication skills
Excellent organizational and time-management abilities with strong attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment
Ability to work independently as well as collaboratively in a team environment
Strong problem-solving skills and ability to handle multiple priorities

Preferred

Associate's or Bachelor's degree in Business Administration or a related field
2+ years of experience in a customer service and/or administrative role
Experience with customer relationship management (CRM) systems or customer databases
Familiarity with SAP or similar enterprise software
Experience supporting multiple departments in a fast-paced office environment
Positive, patient, and professional demeanor with strong interpersonal skills
