Office Manager

TrueBuild Group is a leading provider of commercial construction solutions in Miami, Broward, and Palm Beach counties. They are seeking an Office Manager to provide comprehensive administrative support, manage bookkeeping and payroll, and coordinate subcontractor and vendor activities, ensuring smooth office operations.

Construction

Responsibilities

Provide comprehensive administrative support, including handling correspondence, managing documentation, and assisting with day-to-day office operations
Organize and manage calendar invitations, scheduled meetings, and set important reminders for the owner and project team
Manage daily bookkeeping tasks, including processing and tracking payments, maintaining accurate financial records, and reconciling accounts
Handle payroll processing for employees, including calculating hours, managing deductions, and ensuring timely and accurate compensation
Create, distribute, and monitor invoices to customers and subcontractors, ensuring timely payments and accurate billing
Oversee subcontractor management, including adding and verifying bills, requesting proposals, and coordinating payment schedules
Monitor and manage lien releases and notices to owners to ensure compliance with legal requirements and protect company and client interests
Coordinate with municipalities to process new permits, request and schedule inspections, ensuring project compliance with local regulations
Read and comprehend each bid's requirements and comply with all bid requirements. Prepare bid documentation and gather bid bond, subcontractor proposals and ensure timely submittal of all bids

Required

Strong Communication and Customer Service skills
Experience in Administrative Assistance and Office Administration
Proficiency in managing Office tasks

Knowledge of construction industry practices
QuickBooks experience is a must
Must be familiar with construction terminologies

Preferred

Associate's degree in Business Administration or related field is preferred
Previous experience in a construction company office is a plus
