K-MAX Contracts/Data Coordinator
Kaman Air Vehicles is an industry leader in rotorcraft systems and unmanned aircraft solutions. They are seeking a K-MAX Contracts/Data Coordinator responsible for maintaining aircraft and component records and ensuring data integrity across various functions.

Responsibilities
Coordinate and maintain aircraft and component records and logs to ensure product traceability and support sales and regulatory requirements
Compile and provide aircraft and component data to Flight Test, Engineering, Quality Assurance, and Kaman leadership to support the official aircraft data record
Respond to inquiries from customers, field service representatives, Engineering, Accounting, Purchasing, Scheduling, Contracts, and senior leadership regarding aircraft and component information (e.g., part numbers, serial numbers, sales, and ship dates)
Process customer purchase orders, confirm pricing and inventory availability, and enter orders into ERP systems and Salesforce/Edge; follow up on and resolve order-related issues
Initiate and manage parts returns for repair or overhaul through the repair station workbench, including part induction, quality record updates, and coordination with Contracts for required sales orders
Partner with Shared Services to resolve invoicing, billing, and aging issues related to customer accounts
Receive and process end-of-month operator reports; report fleet flight hours to leadership and update tracking systems for installed and removed assemblies and components
Develop and maintain reports and matrices related to aging, sales forecasts, and sales order status to support supervisors and program managers
Process customer parts quote requests in RFCE and prepare and submit final quote letters to customers
Maintain and update internal logs and systems, including RFCE, QTS, and Sales Order tracking
Calculate and submit quarterly customer billing information for KOAP participants
Provide general administrative and program support as needed, including preparing and presenting information in boardroom or formal meeting settings
Qualification
Required
Knowledge of aviation quality and customer service practices equivalent to at least two years of college coursework
1–4 years of related experience, including 1–3 years in aircraft records, quality assurance, or customer service within the aviation industry
Proficiency in personal computer use, flight-watch databases, and Microsoft Office applications
Working knowledge of Federal Aviation Regulations (FARs), including documentation, form requirements, and engineering and quality records
Ability to apply judgment and analyze information within a specialized, regulated environment
Proven ability to work independently, manage multiple priorities, and deliver accurate results
Strong communication skills with the ability to prepare and present materials in boardroom and classroom environments
