They are seeking a highly organized and detail-oriented Purchasing Coordinator & Bookkeeper to manage procurement, vendor coordination, and financial tracking to support their interior design studio operations.
Interior Design
Responsibilities
Create, issue, and manage purchase orders for furniture, fixtures, materials, and finishes
Coordinate with vendors, showrooms, and manufacturers regarding pricing, lead times, order confirmations, and shipping
Track orders from placement through delivery, ensuring accuracy and timely follow-up
Maintain organized procurement records, including quotes, invoices, order confirmations, and delivery documentation
Coordinate with the design team and receiving/storage partners regarding deliveries, damages, backorders, and returns
Assist with resolving vendor discrepancies, shortages, or damaged items
Process vendor invoices and client-related expenses accurately and on time
Track and reconcile project expenses to ensure alignment with budgets
Maintain clean, organized financial records for internal reporting
Assist with billing support, expense tracking, and documentation for accounting purposes
Monitor outstanding invoices and follow up as needed
Support month-end and project close-out processes
Work closely with designers to ensure procurement aligns with project timelines
Maintain clear communication across vendors, internal teams, and external partners
Support internal systems, workflows, and process improvements related to purchasing and financial tracking
Handle sensitive financial and client information with discretion and professionalism
Qualification
Required
Previous experience in purchasing, procurement, bookkeeping, or operations (interior design, architecture, construction, or luxury goods preferred)
Strong organizational skills and attention to detail
Ability to manage multiple projects and deadlines simultaneously
Clear, professional communication skills (written and verbal)
Comfortable working independently and taking ownership of responsibilities
Proficient with spreadsheets and digital record-keeping systems
Reliable, proactive, and solution-oriented
