Birthday Program Coordinator PT

The DoSeum is San Antonio’s only museum exclusively devoted to children ages 11 and under. The Birthday Program Coordinator plays a key role in The DoSeum’s Special Events office, leading the Birthday Party program and assisting with various events to create joyful experiences for children and families.

Responsibilities

Plan, organize, and execute birthday parties, ensuring a positive, safe, and memorable experience for guests
Lead the day-to-day coordination of the Birthday Party program, including scheduling, room setup, activity flow, and supply readiness
Evaluate and enhance birthday program offerings by monitoring activities, guest engagement, and supply usage
Serve as the primary point of contact for birthday party clients and guest before, during, and after events
Respond to birthday party and rental inquiries in a timely, effective, and proactive manner in collaboration with the Museum Sales & Events team
Conduct guest walkthroughs and planning meetings as needed
Deliver outstanding customer service and professional sales and service support
Assist with preparation and execution of special events and facility rental, including Kids Countdown to the Noon Year and Adult Nite
Support birthday hosts with activities, supplies, guest check-in, and on-site coordination
Assist other departments during DoSeum-wide programs such as Big Day of Play and Tinkerfest
Collaborate with Education and internal teams to ensure activities are STEAM Focused and age appropriate
Communicate effectively across departments to represent the vision, goals, and activities of the DoSeum special events program
Model and uphold DoSeum standards for guest interaction, safety, courtesy, and professionalism

Required

High School diploma or GED required
One or more years of experience in customer service, data collection, and administrative support, or event-related roles
Experience supporting food and beverage business operations
Ability to learn point-of-sales, reservations, and calendaring systems
Intermediate level experience with Microsoft Excel, Word, and PowerPoint
Ability to prepare, maintain, and compile reports
Strong organizational, time management, and multitasking skills
Effective written and verbal communication skills
Ability to work independently and collaboratively with internal and external parties
Availability to work Friday-Sunday schedule, holidays, and occasional evenings
Valid driver's license and reliable vehicle available for local travel

Preferred

Experience working in a multi-purpose facility, preferably in a museum or cultural organization
User-level experience with TripleSeat event management software and Altru cultural management software
Bilingual in English and Spanish (reading, writing, and speaking) preferred
