Trademark Executive Assistant

Buchanan Legal Professional Services is seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative, operational, and client service support within a Trademark practice. This role supports attorneys, paralegals, and practice leadership across various trademark activities including prosecution, disputes, and client onboarding.

Responsibilities

Drafting and managing trademark-related documents and filings
Coordinating with USPTO tools, docketing, vendors, and foreign counsel
Supporting client onboarding, engagement letters, and conflicts processes
Assisting with business development, marketing materials, CRM updates, and social media support
Reviewing prebills, monitoring billing arrangements, and supporting collections
Managing complex calendars, travel, meetings, and executive communications
Supporting practice administration initiatives and special projects

Qualification

Trademark prosecution experienceMS Office proficiencyAdobe Acrobat proficiencyCRM tools proficiencyDiscretionProfessionalismOrganizational skillsCommunication skillsProblem-solving skills

Required

3+ years supporting law firm partners or senior executives
3+ years of trademark prosecution and/or dispute experience (domestic and foreign)
Strong organizational, communication, and problem-solving skills
High level of discretion, accountability, and professionalism
Proficiency with MS Office, Adobe Acrobat, CRM tools, and collaboration platforms
