Responsibilities

Calendar & Meeting Management: Coordinate virtual meetings, manage calendars for leadership, prepare detailed agendas, and accurately record and distribute action items
Communication Liaison: Draft concise internal updates, route messages promptly to the correct stakeholders, and maintain efficiency in shared communication channels (Slack, email groups)
Document Control: Organize contracts, Standard Operating Procedures (SOPs), and project files in Google Workspace or Microsoft 365, ensuring strict version control and easy retrieval
Task Tracking: Maintain and follow up on task lists and deadlines for leadership, proactively highlighting potential blockers and risks
Research & Reporting: Compile brief administrative reports or spreadsheets (e.g., vendor lists, budget trackers, team availability) as requested
Administrative Projects: Assist HR, finance, or operations teams with ad-hoc projects such as process documentation, data entry, or coordinating small virtual events

Required

Proven organizational and time-management abilities in a remote or hybrid work environment

Comfortable using collaboration tools such as Slack, Zoom, and project management apps (Trello/Asana)
Clear written and verbal communication skills, capable of drafting professional, grammatically correct emails and summaries
Meticulous attention to detail and the aptitude for managing multiple priorities without requiring constant supervision
Demonstrates discretion and professionalism when handling confidential information

Preferred

Prior administrative, virtual assistant, or high-level support experience
