The Administrative / Customer Support Coordinator is responsible for maintaining communication with new potential customers, coordinating vendor quotes, preparing customer job quotes, processing orders, and assisting with purchasing and order fulfillment.

Responsibilities

Serve as the primary point of contact for new potential customers and established customers
Maintain ongoing communication to answer questions, gather information, and follow up on quotes and orders
Assist with setting up new customer accounts, ensuring all required documentation and information is complete
Request and retrieve vendor quotes as needed
Prepare and send accurate job quotes to customers
Input customer orders into the system with attention to accuracy and detail
Coordinate with the purchasing department to ensure materials and products are ordered correctly and on time
Assist with getting orders prepared and sent out to customers
Track order status and communicate updates to customers and internal teams
Support basic setup or coordination required for new customer onboarding
Maintain organized records of quotes, orders, and customer information
Assist with general administrative tasks as needed to support sales and operations
Identify opportunities to improve processes and efficiency

Required

GED / High School Diploma
Able to pass a pre-employment drug screen
Able to pass a background check
Able to work in the US
Strong organizational and time-management skills
Excellent written and verbal communication skills
Customer-focused mindset with a professional and friendly demeanor
Ability to multitask and manage competing priorities
High attention to detail and accuracy
Proficiency in basic computer systems (email, spreadsheets, order entry via ERP)
Customer Service experience 1 to 2 years

Preferred

Prior administrative, customer service, or sales support experience
