Administrative Coordinator

Responsibilities
Serve as the primary point of contact and field inquiries for the Church Lab to prioritize meetings and events for Principal Investigator Dr. Church. Includes acting as a liaison with donors and the Harvard University Development Office. Will need to handle complex and confidential information with discretion. Makes travel arrangements when necessary
Manage, track, and triage media requests (including filming, interviews, remote lectures, podcasts, and book reviews). Liaise with both Harvard and Wyss Media Communications teams for media requests
As a point of contact, works closely, collaboratively, and often with the entire lab of over 80 lab members, the Genetics business office, Wyss Institute, and other Harvard offices to ensure University, State, and Government compliance
Serve as the lab HR manager, including application screening, onboarding, supervision, and management-level liaison with other university offices. Meets regularly with the Department Head to discuss personnel and participates in the oversite of program and research goals. Maintain frequent communication with various Harvard department programs (e.g., BBS, MCB, Biophysics, etc.) concerning the educational prerequisites for PhD students
Onboard new lab personnel and working with the Lab Operations Manager, coordinate wet bench and desk assignments at the NRB
Working with the Lab Operations Manager to offboard lab personnel
Serve as an intermediary between Dr. Church and the Synthetic Biology Platform Lead for personnel oversight between two locations of Church Lab members
Collaborates with subject matters experts to ensure academic and university compliance for relevant lab members (e.g. graduate students, postdocs, rotation students, visiting graduate students)
Serve as a liaison between Dr. Church, the Harvard Office of Technology Development, and the Office of Academic Integrity, to coordinate outside activities, material transfer agreements, and conflicts of interest. Works with Harvard Use of Name Department for any promotional materials and public posting related to Dr. Church’s affiliations, talks, and outside activities
Coordinate with the Genetics Department and Wyss Institute Grants Managers on requested grant materials including Letters of Support and any supplemental grant materials, biosketches
Oversees and reconciles the Church Lab P-card purchases
Works closely with the Senior Grant Manager to review, approve, and coordinate any travel and conference requests lab-wide
Meets regularly with the Senior Grant Manager and Dr. Church to assess lab personnel and project needs
Maintains mailing lists; and lab meeting calendars; disseminates twice-weekly meeting announcements and reminders of upcoming deadlines and presentations
Maintains updating all Church Lab websites with relevant material including publications, podcasts, interviews, presentations/talks, current and past lab members
Coordinate reference letters from Dr. Church for current and former lab members
Other Duties as necessary

Required
4 or more years of experience. Higher education may count towards experience
