Bookkeeper/Administrative Legal Assistant – Portland Regional Office
The National Legal Aid & Defender Association is seeking a full-time Bookkeeper/Administrative Legal Assistant for its Portland office. The role involves assisting with financial matters, managing client interactions, and providing administrative support in a legal environment.

Responsibilities
Assist with monthly, quarterly and annual accounting, billing, and other financial matters
Submit reports, invoices, and requested information in coordination with the Central Administrative Office and other agencies
Process accounts payable documents
Prepare litigation account reconciliation, credit card reconciliation and trust account reconciliation
Review closed cases and timekeeping for compliance with federal rules and grant guidelines
Answer and triage incoming client calls and assist walk-ins in both English and another language commonly spoken by our clients
Issue spot and screen potential clients, and schedule consultations
Provide detailed referral information to potential clients
Data entry and programmatic compliance support
Meet the clerical needs of a busy law office
Process incoming and outgoing mail
File client documents internally
Help maintain stock of brochures and other self-help legal materials
Oversee ordering and maintaining office supplies
Other receptionist/administrative support tasks as needed
Maintain direct communication with multifaceted support staff team
Use computers as needed, including word processing, Excel, email and CMS
Qualification
Required
Bilingual in English and Spanish, or another language commonly spoken by our client population
Minimum of 5 years of experience working in a customer service-oriented call center, law firm, legal clinic, or equivalent environment
Experience with accounting, grant reporting, intermediate word processing and Excel skills
Excellent people skills and emotional intelligence
Sound judgment and the ability to work independently while completing tasks with a high degree of attention to detail
Ability and willingness to work as part of an interdisciplinary and interdependent team
Ability to support team members with workload balance
Ability to work effectively with trauma survivors
Ability to answer phones and provide administrative office and legal support
