The role involves providing on-set support, tracking production progress, and managing financial documentation to ensure efficient production operations.

Responsibilities

Provide general on-set support as needed, assisting Lead Producers during active shoots and high-volume seasons
Help track shot lists, shoot progress, and daily deliverables to support smooth production flow
Assist with basic production planning and coordination to maximize shoot efficiency
Maintain workflow across multiple sets, helping producers stay organized and on schedule
Act as an extra set of eyes and hands on set—anticipating needs and proactively solving small issues before they escalate
Track, process, and submit all vendor invoices related to photo studio operations, ensuring accuracy and timely payment
Create, manage, and maintain Purchase Orders (POs) within the company’s financial systems (SAP Ariba or similar)
Coordinate vendor setup and onboarding, verifying billing details and resolving discrepancies or missing information
Maintain detailed cost trackers across multiple projects, flagging inconsistencies, overages, or gaps for review
Partner with Finance and Studio leadership to ensure expenses align with approved budgets
Ensure all financial documentation is organized, audit-ready, and easily accessible for reporting
Work closely with Studio Producers, Operations, and Finance teams to align priorities and timelines
Communicate clearly and professionally with internal teams and external vendors
Support continuous improvement by identifying opportunities to streamline processes and improve efficiency

Required

1+ year of experience in a similar position, studio environment ideal
Highly organized, adaptable, and extremely detail oriented
Strong ability to multitask and prioritize in a fast-paced, deadline-driven environment
Solutions-oriented mindset with a focus on process, accuracy, and follow-through
Comfortable working across both administrative and hands-on production environments
Familiarity with PO and invoicing systems (SAP Ariba or similar strongly preferred)
Strong communication skills and a collaborative, team-first attitude
