Administrative Associate, Business Affairs

Responsibilities

Draft and administer talent option pickup letters
Assist in the preparation, proofreading, and review of various types of documents including but not limited to development, production, talent, licensing, partnership, ad sales, marketing, and other miscellaneous programming and content-related offers
Maintain organized files and update status reports, essential databases and tracking spreadsheets for background checks, contracts, amendments, and talent and production option tracking for multiple WBD networks, ensuring all documents and information are up to date and easily accessible
Liaise with internal teams (Legal Affairs, Production Management, Finance, Programming, etc.) to facilitate the flow of information and ensure timely deal closure and management
Maintain and manage team calendars, including room and technical equipment reservations
Provide administrative support to members of the Business Affairs team (e.g., managing calendars, coordinating and booking travel arrangements, submitting expense reports)
Improve systems, processes, and workflows to keep the department running efficiently

Required

Bachelor's degree in Business, Legal Studies, Media Studies/Communications, or a related field required
Minimum of 1-3+ years of work-experience, preferably at an entertainment department of a law firm or in the business/legal affairs department of a television
Attention to detail, strong organizational and time management skills, and the ability to communicate clearly and professionally
Tech-savvy; high degree of proficiency with Microsoft Office; additional experience working within databases and Smartsheet desirable
Able to prioritize projects on a daily basis in a fast paced environment with frequent deadlines and heavy workload
Flexibility and ability to work with a team to accomplish multiple tasks are needed
Able to manage sensitive and proprietary information with discretion and confidentiality

Preferred

A paralegal certificate is a plus
Working knowledge of media, entertainment, television programming and/or other content-related issues is highly desirable
