Responsibilities

Daily walk around the facility to assess readiness for operations. This includes, but is not limited to, ensuring cleanliness, availability of office supplies and break room supplies such as tea/coffee refilled throughout the facility, managing printing requests, coordinating shipping of items, ordering administrative supplies, preparing and assisting during client visits, and other tasks assigned by the Supervisor from time to time
Reception management
Receive clients and guests at the front desk
Ensure security protocols are followed
Identity cards/badge management
Perform mailroom functions and shipping tasks as required (FedEx / UPS / others)
Maintain conference room reservations and ensure rooms are clean and ready for meetings
Monitor usage and manage supplies (pantries, copiers, office supplies, etc.)
Maintain cleanliness and maintenance of equipment at the location and liaise with building management as needed
Perform any other administrative duties assigned by the Office Admin/Supervisor from time to time

Required

2–4 years of experience in reception/admin function in a medium-sized facility (50–100 associates preferred)
Excellent English communication skills (written and verbal)
Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, etc.)
Knowledge of office management
Knowledge of front office management
Strong interpersonal skills and ability to work in a diverse, multicultural environment
Strong organizational and planning skills
Analytical and problem-solving skills
Good decision-making capability
Proactive, self-motivated, adaptive, and professional
Ability to multitask and remain accessible by phone for emergency requirements at the location
Flexible and available to work outside regular business hours if required

Preferred

Associate degree
2–4 years of experience in reception/admin function in a medium-sized facility (50–100 associates preferred)
