Responsibilities

Calendar Administration - Manage calendars for the ELT (four executives), schedule meetings, and proactively resolve conflicts in advance. Ensure that all meetings have agendas, a designated meeting area, and that all attendees are present
Event Administration - Fully responsible for all company event administration and management with excellent attention to detail, including in-office weeks and the annual kick-off week. Plan and manage all executive-directed in-office weeks, including scheduling, on-site support, and communication to attendees. Coordinate team-building activities, leadership events, and other executive-sponsored engagements
Travel Administration - Coordinate all domestic and international travel for ELT, ensuring efficient itineraries and cost-effective planning. Coordinate travel for potential hires visiting the Marlton, NJ office as part of the recruitment process. Manage travel arrangements for employees who report into the US office but reside in SEBPO delivery centers, including El Salvador, the Philippines, and Bangladesh. Assist with visa requirements, transportation, lodging, per diem guidance, and any other related travel logistics
Project Administration - Manage special executive projects that require confidentiality
Executive Support - collaborate with ELT to prioritize issues and provide support for errands, tasks, or communicating with other departments
Expense Management - Produce and submit expense reports for ELT
Administrative Support - Prepare, edit, and format correspondence, reports, presentations, and other documents for the ELT
Weekly Office Presentation and Communication - Draft, distribute, and manage internal office communications on behalf of executive leadership and human resources to ensure accurate and timely information is provided to the employees
Meeting Administration - When requested, organize high-level meetings, prepare agendas, arrange logistics, and take meeting minutes
Proactive Administrative Support - Monitor deadlines and communicate regularly with ELT to ensure collaboration with the team and proper prioritization of projects. Prepare summaries, search for information, or track down items needed for ELT
Other - Perform general administrative tasks and other office duties as assigned. Send daily or weekly communications related to bandwidth, priorities, and active issues

Required

Clear and succinct written and verbal communications

5+ years of experience supporting C-level executives
Proficiency in Google Workspace, Presentation creation, Microsoft Office Suite, and related tools
Strong interpersonal skills
Ability to work independently with minimal supervision

Preferred

Bachelor's degree in Business Administration or a related field preferred
