Administrative Assistant
KBH Industrial is a reliable source for project management and oversight services. The Administrative Assistant I will provide advanced administrative support to department leadership, including document preparation, scheduling, and office management responsibilities.

Responsibilities
Provide office management and administrative support for the department
Maintain documents in accordance with recordkeeping requirements
Prepare travel authorizations and expense forms; coordinate travel arrangements
Monitor department personnel qualifications to ensure compliance
Facilitate onboarding of new staff (supplies, equipment, orientation) and support performance appraisals and personnel documentation
Prepare confidential reports, correspondence, and presentations for senior management and board-level audiences
Serve as first point of contact by answering and directing in-person and telephone inquiries, including the must-answer line
Distribute department mail and faxes daily, identifying sensitive items and notifying appropriate staff
Maintain office supply inventory and place orders within budget
Coordinate facility and equipment needs (furniture, printers, work orders)
Serve as department subject matter expert for the AR system, generating ARs, preparing weekly reports, tracking actions to closure, and coordinating AR-CF CR disposition
Design and maintain the CF Corporate SharePoint site
Initiate contract requisitions and changes; coordinate annual funding of CF contracts
Serve as credit card custodian and reconcile monthly billing
Register staff for training
Perform other duties as assigned
Qualification
Required
High school diploma or GED with a minimum of three (3) years of progressive administrative experience, including leadership responsibilities and independent decision-making authority
Ability to prepare documents using Microsoft Office and Energy Northwest information management tools (Word, Excel, PowerPoint, Action Tracking)
Knowledge of general to advanced office management techniques, including spelling, grammar, punctuation, and standard office equipment usage
Demonstrated professional office etiquette
Ability to handle sensitive and confidential information with professionalism and discretion
Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Access
Strong administrative, organizational, planning, and time-management skills
Ability to work under pressure and tight schedules with minimal supervision
Detail-oriented with strong problem-solving and decision-making abilities
Creative, collaborative team player
Excellent written and verbal communication skills
Strong interpersonal skills with the ability to interface effectively with staff and senior management
U.S. Citizenship Required
Preferred
Experience using Asset Suite and SharePoint
