Responsibilities

Support the Senior Medical Director and VP US Pain lead daily and weekly Pain huddles including:
Preparing and distributing agendas
Taking detailed notes
Tracking action items
Following up with stakeholders to ensure task completion
Manage and serve as the point of contact within the team for Vertex administrative functions including:
Needs Assessments Forms (NAFs), Coupa Purchase Orders in support of contracting, finance, HR, and other operational touchpoints
Manage Microsoft Teams channels and ensure effective content organization and communication
Provide support and training for business tools (e.g., Microsoft Teams, Smartsheet, etc.) to enhance digital literacy and team efficiency
Coordinate local and regional congress logistics (e.g., tracking deliverables, managing travel and booth logistics, documentation, HCP/TL events)
Support the planning, execution, and reporting for all Headquarters led US Medical Congress activities
Support the planning, execution, and reporting of US Medical Advisory Boards as per SOP
Support the US Pain Scientific Communication team in the successful planning, execution, and reporting activities for lifecycle study results dissemination through digital engagement platforms
Logistical and tracking support
Manage and execute onboarding processes for new team members to ensure quick integration into the team and tools
Support budget reconciliation in partnership with the Pain Project Manager and Finance team
Maintain and optimize internal workflows, ensuring timely and efficient information flow across teams
Support execution of Launch Plan tactical activities, including maintenance of the Acute Pain Tracker

Required

Bachelor's degree or equivalent professional experience
Ideal candidate will have 6 years in a heavily matrixed operational, project management/coordination, or administrative support role, preferably within the pharmaceutical industry
Advanced Digital Literacy: strong experience with digital tools including Microsoft Teams, Smartsheet, Zoom, and Microsoft Office 365 Suite
Excellent organizational skills and attention to detail
Excellent communication skills: ability to work effectively across cross-functional teams

Preferred

Experience supporting medical affairs or commercial launch teams
Experience with HCPs, i.e. Surgeons, Anesthesiologists, Advanced Practice Providers, etc
Budget management experience with advanced Excel spreadsheet experience
Familiarity with pharmaceutical compliance and regulatory requirements
Ability to translate complex concepts through images with advanced PowerPoint experience
