Administrative Assistant / Front Desk Coordinator

They are seeking an Administrative Assistant / Front Desk Coordinator to serve as the operational heartbeat of their St. Petersburg office, ensuring a welcoming and organized environment while managing various administrative tasks.

Responsibilities
Greet clients, consultants, and visitors with a high level of professionalism and hospitality, reflecting the firm’s design-forward culture
Maintain the visual standards of the office, including the reception area, conference rooms, kitchen, and shared collaborative spaces
Manage incoming and outgoing deliveries, mail, and specialized packages
Monitor and restock office, kitchen, and printing supplies to ensure uninterrupted studio operations
Assist with office events and meetings. Schedule and order food for CEU Lunch & Learns, staff training sessions, and staff gatherings
Perform essential support tasks, including digital filing, scanning, document coordination, and basic correspondence
Set up and troubleshoot basic office technology, including Zoom meetings, conference equipment, printers, and guest Wi-Fi
Act as the local point of contact for the firm’s external IT consultants to resolve more complex hardware or software issues
Assist with the physical and technical setup for new employees joining the St. Petersburg team
Support seamless coordination with the Sarasota office to ensure consistency in administrative processes across both locations
Qualification
Required
A proactive, positive, and service-oriented attitude with a 'no task is too small' approach
Exceptional organizational skills and a sharp eye for detail
Comfortable navigating and learning new software systems and office technologies
Highly proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
Excellent verbal and written communication skills
A consistent, professional demeanor and high level of reliability
Must have a reliable personal vehicle and the ability to travel occasionally within the region for reimbursed errands or inter-office business needs
Ability to work in an office, involving prolonged sitting or standing at a desk
Extensive use of computers and telephones for data analysis, research, writing, and reading requiring sustained visual focus and digital literacy
Must communicate clearly and accurately across verbal, written, and digital platforms
Occasional lifting and moving of office materials or documents up to 10 lbs
Periodic local or regional travel required for meetings and events via standard transportation
Preferred
A Bachelor's degree preferred
A minimum of two (2) years of experience in a professional administrative or office support role
Graphic aptitude or experience with Adobe Creative Suite (InDesign/Photoshop) is a significant advantage
