Responsibilities

Assists the Senior Director with prospect and data management including, but not limited to, supporting bi-weekly prospect strategy meetings, updating solicitation pipelines and gift proposal status, auditing data for accuracy; running reports on Major Gift fundraising activity and progress; and managing relevant data pulls and requests
Serves as a primary point of contact to the university’s central development operations team and partners closely with them while coordinating the annual portfolio review processes for fundraisers
Manages calendars and meeting scheduling for recurring and ad-hoc team meetings and Senior Director travel
Under the direction of the Senior Director, builds and maintains active pipelines for donor visits with the dean, Institute senior leaders, and HRI faculty. Drives gift officer review and prioritization to meet trip deadlines. Prepares final pipeline materials for decanal review. Drafts high-quality briefings and contributes to strategy as needed for administrator meetings with donors and Major Gift events
Enters prospect data in Advance (donor database) in a timely manner and utilizes MS Office to organize data and produce scheduled and ad hoc reports and other materials
Office administration duties include but are not limited to composing and editing correspondence, organizing and producing mailings, email and phone outreach, reconciling fundraiser expense reports and ensuring accuracy in Concur, meeting management (including scheduling, preparing meeting agendas, taking and disseminating meeting notes), proofreading, preparing donor visit materials, and facilitating special projects
Assists with planning and preparing for development events engaging major and leadership giving prospects, including initial invitation list data pulls, scheduling planning calls, and preparing attendee bios
Ad hoc management of preparing select bios for public programming (dean’s lectures, conferences etc.), managing the timeline for post lecture dinner invitations for ER prospects and coordinating with the Events team
Assists the Senior Director in managing monthly departmental meetings with the Schlesinger Library. Schedules and prepares agenda, takes and disseminates notes, tracks next steps, ensures relevant stakeholders are in attendance
Performs other duties as required in response to the department's changing needs

Required

Bachelor's degree plus two years of related administrative experience. An equivalent combination of education and experience may be considered
Strong knowledge and proficient use of Microsoft Office Suite including Word, Excel, Outlook and PowerPoint
Excellent analytical skills and written and verbal communication skills; strong organizational and time management skills
Ability to master new software applications and technologies. Must be proficient in Excel and able to maximize its utility
Ability to develop and maintain good working relationships with staff at all levels of the department
Ability to work independently and with sound judgment, meet deadlines, manage multiple assignments, and solve problems
Ability to handle sensitive and confidential information with tact and discretion
High levels of organization, attention to detail, and ability to work competently and efficiently in a multi-faceted environment with varied work styles
Must possess strong communication skills, both verbal and written. Outstanding knowledge of English grammar, spelling and punctuation required. Must possess the ability to compose, proofread and edit technical materials and correspondence for internal and external audiences
Must be proactive and self-motivated to learn, ask questions, develop new skills, and identify areas of need and opportunities for the team to improve and grow

Preferred

Previous experience in fundraising office and/or comparable administrative work
Experience working with confidential data
Experience with Advance software and Qlikview reporting preferred
