Responsibilities
Client ownership & judgment (core of the role)
Acting as a professional first point of contact for clients (phone, email, Zoom, in-person)
Owning routine and semi-complex client communications with clear follow-through
Drafting, routing, and tracking engagement letters, organizers, and key deliverables
Clarifying client requests and routing issues to the right person with helpful context
Exercising discretion about what you can resolve independently vs. what needs escalation
Executive & partner support
Calendar and meeting coordination
Preparing materials for internal and client meetings
Tracking action items and closing loops
Helping manage priorities and communications during busy season
Tax operations & workflow coordination
Working in practice management and tax tools (e.g., Canopy, SafeSend, Gather, UltraTax)
Supporting engagement setup, document intake, and client onboarding
Keeping client records organized and accurate
Coordinating client reminders and light billing follow-ups as needed
Light operations support (high-judgment work)
Noticing small process breakdowns and suggesting practical improvements
Helping document procedures and checklists
Supporting onboarding of new team members
Qualification
Required
Have 3+ years in an EA, operations, or tax admin role at a CPA firm
Are comfortable owning client communications (not just relaying messages)
Prefer owning your workflow rather than being micromanaged
Stay calm and organized under tax-season pressure
Are detail-oriented and able to see the bigger picture
Are tech-comfortable and quick to learn new systems
Preferred
Familiarity with Canopy, QuickBooks, SafeSend, Gather, UltraTax, or CCH/Lacerte
