Administrative Assistant

Grand Hyatt Deer Valley Hotel is located in the renowned Deer Valley ski resort, known for its luxury accommodations and extensive amenities. The Administrative Assistant will support the General Manager and Food & Beverage leadership team by managing schedules, preparing documents, and assisting with various administrative tasks in a fast-paced hotel environment.

Responsibilities

Assist with scheduling, calendar updates, and coordinating meetings for hotel leadership
Prepare and format basic documents, reports, checklists, menus, and meeting materials
Help manage incoming calls, emails, and visitor inquiries; route information to the appropriate leader or department
Support travel arrangements, expense submissions, and routine purchasing or invoice tasks
Maintain organized filing systems, departmental records, and general office supplies
Assist with onboarding coordination, communication updates, and F&B administrative tasks
Help prepare agendas, meeting notes, and follow‑up items for leadership and departmental meetings
Support routine F&B documentation, compliance tracking, and seasonal or colleague engagement activities
Draft and edit simple correspondence and ensure deadlines and tasks are tracked and completed
Maintain confidentiality and provide general administrative support to ensure smooth daily operations across the Executive Office and Food & Beverage teams

Required

High school diploma required, some college preferred
1–2 years of administrative or office support experience
Strong organization and time‑management skills
Clear and professional communication skills
Comfortable using Microsoft Office (Outlook, Word, Excel)
Detail‑oriented, reliable, and able to support multiple leaders
Positive attitude and willingness to learn hotel and F&B processes

Preferred

Hospitality or Food & Beverage experience is helpful but not required
