Administrative Assistant - Austin Bridge & Road
Austin Industries is one of the nation’s largest, most diversified U.S.-based construction companies. They are seeking an Administrative Assistant to support the Equipment Department at their Equipment Division Yard in Dallas, Texas, responsible for scheduling appointments, assisting drivers with vehicle maintenance, and managing fleet-related reports.

Responsibilities
Scheduling appointments for drivers to pick up vehicles
Schedule maintenance and repair appointments with vendors and dealerships
Schedule vehicle pick-ups/drop offs
Track repair status, downtime, and follow up on open work orders
Align the shop Upfitter with make ready requests
Assist with vehicles going to repair shops and communicating/updating drivers as needed
Assist/support Drivers when it comes to vehicle maintenance, fuel program and driver pins
Assist with transfers or disposals of company vehicles
Assist with generating and, on occasion, distribution of fleet related reports
Assist in determining if vehicles should be kept as loaners or disposed
Assist with accident reporting, claim documentation, and towing coordination
Qualification
Required
Experience in a dealership service center as a porter or coordinator
Ability to interact effectively with employee drivers, managers, and external vendors
Ability to manage multiple priorities and deadlines
Self-motivated, Initiative
Customer service oriented
Ability to work in a team environment
Organizational Skills
Highschool diploma
Knowledge of Microsoft Excel and Word
At least five years in a role with direct customer interface
