Human Resources Administrative Assistant

May Institute is seeking a Human Resources Administrative Assistant to join their HR team. This role provides essential administrative support for HR operations, ensuring accurate records and excellent service to employees while assisting the SVP of HR.

Responsibilities

Maintain employee personnel files and HR systems, ensuring accuracy and confidentiality
Manage leave of absence by tracking documentation, building and maintaining leave spreadsheets and conducting bi-weekly meetings with HR field representatives
Maintain the Leave of absence mailbox and respond to employees’ and HR Field Representatives’ inquiries regarding FMLA eligibility, procedures, policies and preparing leave paperwork
Prepare reports, spreadsheets, and HR documentation as requested
Update the MA DFML website with the employer’s response to notifications received for State leave requests from employees
Support compliance efforts, including audits, I-9 verifications, and required postings
Provide administrative support to the SVP of HR, including scheduling meetings, maintaining calendars, preparing correspondence and reconciliation of invoices
Perform general office duties such as filing, scanning, data entry, and ordering supplies

Required

High school diploma or equivalent required; associate or bachelor's degree preferred, or equivalent work experience
2+ years of administrative or HR support experience preferred
Strong organizational skills and attention to detail
Ability to handle sensitive and confidential information with professionalism
Proficiency in Microsoft Office (Outlook, Word, Excel); experience with HRIS systems a plus
Excellent written and verbal communication skills
Ability to prioritize tasks, meet deadlines, and work in a fast-paced environment

Preferred

associate or bachelor's degree
2+ years of administrative or HR support experience
