Administrative Technician - Columbus/Norfolk

The State of Nebraska is seeking an Administrative Technician to provide leadership and administrative support within the Health & Human Services agency. This role involves supervising office technicians, managing schedules, organizing meetings, and preparing reports to facilitate the agency's operations.

Responsibilities

Provide leadership to Office technicians in the North Service area
Assist the Service Area Administrator with meeting minutes, meeting scheduling, ordering supplies, overseeing support to the Service Delivery Administrator, maintaining a vehicle fleet for the service area, assisting with purchase card receipts for the Service area that includes the Alternative Response cards, scheduling out of state travel for the teams, paying postage bills, assisting with ID badges, security for software applications, updating Organizational charts and assisting with IT request
Supervise a total of 4 office Technicians
Perform administrative support activities for the employing agency, or to support a board, commission or council, such as collecting/reviewing information and writing responses to inquiries or complaints of potentially sensitive nature
Compose or track preparation of administrative, operational or similar reports or informational summaries concerning workload, budgeting, grants, staffing or legislative topics
Arrange schedules and agendas, organize conferences, record minutes, and prepare a written record of proceedings for various meetings
Collect, compile, and/or extract information and/or data from computers, databases, statistical, accounting, administrative, and/or other records and documents
Compile records and create reports, charts and/or graphs through word processing, spreadsheet, or database software to display information in a readable format and to provide the immediate supervisor and management officials with information for making decisions
Install, maintain, and/or modify manual and computerized tracking/monitoring or evaluation processes or files for assigned programs or functions
Monitor status of projects and/or costs/expenditures relating to these programs/functions
Take action to facilitate attainment of goals and deadlines
Prepare documents, reports, or presentations requiring the use of advanced software features that includes integration of spreadsheets, macros, queries, charts, graphics, tables and multiple databases
Create and update operational and training manuals for internal and external users of department or division business systems
Provide advice and consultation with lower level clerical and technical support positions where decisions require the application of program knowledge to assist with processing activities
Provide detailed responses to questions on program services, application procedures, or processing steps
