Vehicle Maintenance Administrative Assistant

The Vehicle Maintenance Administrative Assistant provides essential support for all vehicle operations, helping coordinate maintenance, repairs, compliance, and record-keeping to ensure the fleet runs safely and efficiently.

Responsibilities

Work collaboratively as a team player with the department and rest of the resort
Monitors compliance with regulatory and safety standards for all vehicles, including sections, registrations and licensing
Verifies documentation of all vehicle-related activities, including maintenance logs, fuel usage, parts inventory transactions and mileage reports
Serves as liaison with external vendors and service providers
Develops and maintains databases, logs and tracking systems to facilitate department operations and programs
Creates and maintains department inventory and audits as necessary to ensure in and out of inventory
Provide any necessary financial data for tracking projects as needed to help others make intelligent business decisions
Establishes and maintains required records and forms, to include but not limited to, maintenance history files, work orders, inspection forms, training records
Department payroll timekeeping, work order time and materials entry, maintenance activity document creation/coordination and tracking, work order system development, reporting, & tracking
Administer department safety training and documentation
Perform and document Assist with required periodic testing of fuel system/waste system and complete all mandatory record keeping and submit all mandatory reporting
Assist the department manager with budget preparation and compliance
Assist in administering parts and material ordering, inventory management and warehouse stocking
Communicates in a clear and respectful manner to train co-workers in all areas of maintenance and repair operations
Assists in maintaining cleanliness of work areas in order to provide a safe environment
Maintain an organized system of paper and electronic documents
Adheres to all company safety policies and procedures, actively contributing to a safe working environment for self, coworkers, and guests

This includes choosing alternative transportation, carpooling, using the employee shuttle, and avoiding onsite parking on weekends and peak days. These actions help reduce Scope 3 emissions, lead by example, and ensure adequate parking for our guests
Must be able to work weekends and holidays as required by resort operations

Required

Ability to meet company standards for Background and MVR check
Language Ability: Ability to analyze and interpret business periodicals, technical procedure and government regulations. Ability to write reports, business correspondence, and procedural manuals
Computer Skills: High Proficiency in Microsoft Office: Excel, Outlook, Word, Teams, Desktop and Mobile applications
Ability to meet and work under strict deadlines
Bending, reaching, climbing, pushing, pulling & prolonged standing
Eye/hand coordination & visual concentration on equipment
Concentrated reading and writing
Must be able to lift and carry items up to 50 lbs
Variation in temperature from hot to cold
Must be able to work weekends and holidays as required by resort operations

Preferred

Education: Bachelor's degree and 3 years office environment experience preferred
Customer Service experience preferred
