Administrative Operations Coordinator

Responsibilities
Provide support in unit and or project budget administration; maintain budget related records and generate reports
Process purchasing related records and transactions; maintain inventory records
Coordinate building operations maintenance which typically includes building access control
Coordinate delivery, installation and inter-office movement of furniture and equipment
Coordinate new employee intake process including initiation of related documentation and data input
Maintain unit administrative related policies and procedures
This position may hire, train, and supervise student employees
Perform other job-related duties as assigned
Qualification
Required
High school diploma, GED Certificate or Vocational School Diploma
Six years of job related experience
Preferred
Candidates should bring 2-4 years of experience with Concur, Workday, and OneUSG
Monthly travel to Huntsville is required to maintain alignment and keep operations running smoothly
Will serve as the key link between Atlanta leadership and Huntsville staff
Extensive administrative experience working in a high-volume and deadline-driven office setting
Proficient with Microsoft Office Suite and ability to learn and adapt to new software packages competently
Wpm: 40- 60
Experience with booking travel arrangements and calendar management
Experience with organizing and scheduling meetings and events
Experience with taking meeting minutes and creating presentations
Excellent time management skills to ensure efficient functioning of schedules and division operation
Ability to establish and maintain effective working relationships to maintain a high level of internal and external customer satisfaction
Excellent written and verbal communication skills to write and proofread reports as needed and to maintain professional communication with customers
Candidates must be able to obtain and maintain a Procurement Card (PCard)
The position requires periodic travel to and from Georgia Tech Research Institute and Georgia Institute of Technology locations in Huntsville, Alabama
