Administrative Assistant III - Assistant to Commissary and Trust Fund Manager - Commissary and Trust Fund Division (920021)
Texas Department Of Criminal Justice is seeking an Administrative Assistant III to provide complex administrative support. The role involves disseminating information, maintaining filing systems, and preparing reports while working under general supervision.
Government Administration
Responsibilities
Participates in the planning and execution of an agency program; assists in the development of administrative and technical assistance policies and procedures; and assists in reviewing and seeking solutions to problems
Prepares and disseminates information concerning agency programs and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; compiles and enters data for charts, graphs and databases, makes calculations, and prepares administrative and statistical reports; and performs word processing
Maintains filing, record keeping, and records management systems to include automated information systems; and assists in the preparation of presentations for administrative and executive meetings
Provides liaison with agency staff, other agencies, and private organizations; coordinates work with organizational units of the agency; processes incoming and outgoing telephone calls; and responds to inquiries regarding rules, regulations, policies, and procedures
Attends meetings, takes notes, prepares minutes for supervisor’s review, and distributes related information; schedules and coordinates appointments, interviews, and conferences; and makes travel arrangements and prepares related documents
Performs a variety of marginal duties not listed, to be determined and assigned as needed
Qualification
Required
Graduation from an accredited senior high school or equivalent or GED
Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience
Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience
Knowledge of office practices and administrative procedures
Knowledge of business terminology, spelling, punctuation, and grammar
Skill to communicate ideas and instructions clearly and concisely
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public
Skill to interpret and apply rules, regulations, policies, and procedures
Skill in problem-solving techniques
Skill to prepare and maintain complex records and files in an automated system
Skill in the use of computers and related equipment in a stand-alone or local area network environment
Skill to review technical data and prepare technical reports
Skill in the electronic transmission of communications
Skill to operate a 10-key calculator by touch
Preferred
Computer operations experience
Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations
Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Skill to type 45 words per minute (with no more than 10 errors)
