Support Coordinator - Preschool 2025-26

Responsibilities
Manages and monitors preschool enrollment and registration systems
Responds to inquiries from a wide variety of internal and external stakeholders to ensure program enrollment in the Preschool program is verified in accordance with State Law, Board Policy, and established internal procedures
Organizes conferences, meetings, workshops and other activities including providing logistical support, including maintaining records of attendance for STARS accounting
Verifies student enrollment in CEDARS and state immunization system
Performs skilled word processing and data entry utilizing various platforms
Serves as primary customer service contact for Preschool program
Facilitates relevant budget processes (budget requests, purchasing, monitoring, etc.)
Support the preschool registrations, fee collection, budget management and purchasing
Is self-sufficient with new technology and systems and transfers knowledge from one situation to another
Serves as liaison for the Preschool program in its interaction with schools, departments and the general public
May serve as project facilitator or leader as designated by the Preschool program
Compiles data for State, District and Board reporting
Monitors and tracks department budget, including requisitions, purchase orders and payment to district staff
Initiates, monitors, and tracks purchase orders
Provides training and oversight to administrative support staff
Prepares materials for required reports, including presentations and documents for reports to District and community leaders
Handles accounts receivables; calculates, prepares, adjusts ProCare billing; deals directly with clients regarding billing questions, notification of unpaid bills, and efforts to collect unpaid bills
Coordinates DCYF, Childcare Resources and applicable grants payments and billing
Maintains and updates department communication, including email, website and other methods
Coordinates curriculum support for Preschool, including textbooks and supplies, ordering and inventory
Supports classified staff assigned to the Preschool Program; provides direction and monitors workload; assists with the hiring process and provides input to performance evaluations
Maintains and tracks student data as required for the position
Maintains records of departmental procedures and documentation
Provides direct or indirect administrative support for the Preschool Program administrative team
Works collaboratively with other departments as required
Performs other job-related duties as assigned
Qualification
Required
2 years' previous administrative support experience demonstrating increasing responsibilities
High school diploma or equivalent
Possesses knowledge of District procedures regarding accounting, budget, purchasing, and enrollment
Extraordinary patience, tact, mental and emotional ability in high pressure situations
Childcare Subsidy Program Regulations and Procedures
Demonstrates an understanding of requirements of State and District Reporting requirements
Understands and addresses privacy requirements for student data
Possesses knowledge of required computer applications and programs for the position
Awareness of the impact of social and economic factors on families and students that impact student success
Possesses knowledge of district resources accessible to families
Understands basic structure of schools
Provides services in respectful and empathetic manner
Possesses effective oral and written communication skills
Demonstrates the ability to work independently and exercise independent judgment
Demonstrates computer skills including word processing, data entry and development and maintenance of spread sheets and other data files
Ability to prioritize work with a focus on balancing crisis/family need situations with administrative support work
Demonstrates planning skills required for completion of key work responsibilities
Possesses creative problem-solving skills
Demonstrates excellent organizational skills with the ability to prioritize work and move between multiple tasks with ease and professionalism in a fast-paced environment
Demonstrates the ability to work independently and exercise independent judgment
Demonstrates multicultural sensitivity with the ability to effectively and collaboratively work with diverse populations including the ability to communicate with families who have varying degrees of English proficiency
Ability to work under pressure and meet inflexible deadlines which may require working additional hours, including occasional weekends and evenings
Ability to perform all duties in accordance with all applicable Board policies and district and legal requirements
Ability to meet and maintain punctuality and attendance expectations
Preferred
Associates degree in business or related field
Administrative support experience within a public school district
Bilingual or multilingual
