Sinclair Community College is seeking an Administrative Assistant I for its Humanities, Government and Modern Languages Department. Responsibilities
Serve as the first point of contact for the office, professionally managing voicemail, email, and in-person inquiries
Route incoming calls efficiently to the appropriate departments, ensuring seamless communication flow
Respond promptly and courteously to internal and external inquiries, maintaining a high standard of customer service
Process and track time-sensitive documents with accuracy, discretion, and attention to deadlines
Coordinate and schedule appointments, optimizing calendars and supporting smooth daily operations
Demonstrate initiative and independent problem-solving while maintaining professionalism, sensitivity, and strict confidentiality
Work effectively with minimal supervision, exercising sound judgment, strong time-management, and organizational skills
Provide administrative and logistical support to faculty for courses, workshops, and college-enhanced programming
Manage multiple priorities simultaneously in a fast-paced academic environment
Draft, proofread, and distribute clear, accurate class and office correspondence
Collaborate with the Registration Office, Off-Campus Learning Coordinators, and Departmental Coordinators to support term scheduling and planning
Maintain an organized and fully stocked office environment, including supplies and textbooks
Process requisitions and requests for food, supplies, facilities, keys, textbooks, purchasing, and related needs
Maintain accurate correspondence, reports, files, and departmental records in compliance with college standards
Navigate and interpret the college’s internal and external websites to effectively assist students, faculty, and staff
Provide enrollment, student, and payroll support using Colleague, Datatel, and DAWN systems
Support faculty with course material uploads and grade submissions
Schedule classrooms and meeting spaces
Coordinate and process requests professionally across multiple internal departments, including Duplication, Mailroom, Registration, Dean’s Office, Bookstore, Purchasing, Human Resources, CTL, Adjunct Support Services, and Payroll
Maintain strong working relationships and up-to-date records for 70+ adjunct faculty members
Attend campus-wide activities and functions
Become involved on support staff committees that enhance my administrative and professional skills
Assist other departments and colleagues as requested or needed
Qualification
Required
Minimum of a high school diploma or equivalent required
Minimum of 2 years of administrative experience required
Strong computer proficiency required, including Microsoft Office (Word, Excel, PowerPoint, and Outlook) required
Demonstrated ability to learn, adapt to, and utilize college-specific technology systems required
Minimum of 40 wpm typing speed required
Preferred
associate's degree in office information systems
Strong organizational and business skills, including attention to detail, effective communication, writing, interpersonal abilities, and professional telephone etiquette
Positive, supportive demeanor; ability to work effectively under pressure; and a demonstrated willingness to assist others, including in unanticipated situations
