Responsibilities

Serve as a confidential executive assistant to the Medical Director, Providers, Cancer Center Director and Managers, maintaining strict confidentiality at all times
Coordinate and manage calendars, scheduling meetings, appointments, and other commitments for leadership and providers
Perform comprehensive administrative support duties, including phone coverage, correspondence, meeting minutes, agenda preparation, communication, ordering, catering coordination, and document preparation
Develop, implement, and maintain administrative systems and processes to support operational efficiency
Maintain provider schedules for time off, vacations, travel, and on-call coverage; communicate schedules with the District and call services as required
Serve as a super user for EPIC provider templates, including setup, maintenance, and updates
Assist providers in tracking and ensuring timely submission and renewal of licensure, certifications, malpractice insurance, and immunization records
Support leadership by scheduling meetings, preparing reports, recording minutes, and providing follow-up as requested
Welcome and assist patients, guests, and visitors in person or by phone; respond to or appropriately route inquiries
Coordinate and prepare conference rooms for meetings, ensuring space and materials meet meeting requirements
Read, route, and distribute incoming mail; locate and attach relevant documentation to correspondence as needed
Schedule, coordinate, attend, and document meetings; transcribe and distribute minutes and follow-up items as assigned
Prepare and distribute agendas, reports, and supporting materials for councils, committees, and meetings
Maintain and update distribution and phone lists for committees, councils, and staff
Conduct routine research and compile materials for reports, meetings, and presentations
Prepare and organize electronic filing of correspondence, records, and documents within designated shared drives
Collaborate with Patient Advocates to support resolution of patient complaints in accordance with Complaint Policy
Provide administrative support for Cancer Committee meetings and onsite accreditation visits, including coordination for inspectors
Request pathology and imaging records for cancer conferences and ensure proper organization and filing
Create and distribute cancer conference flyers and related communications
Assist with scheduling education, classes, and training for nursing and support staff as requested
Support special projects and events, including planning, ordering materials, setup, and teardown
Manage office supply inventory, place and expedite orders, and verify receipt of supplies
Ensure proper operation of office equipment through preventive maintenance, troubleshooting, repairs, and inventory management
Maintain National Notary Association certification to meet patient and organizational needs
Publish daily staffing notifications
Maintain fax files and upload medical records accurately and securely
Provide backup coverage for clerical support roles, including PBX, registration, fax file management, and intake of new referrals
Demonstrate system values in daily performance and professional behavior
Comply with all system policies, procedures, and confidentiality standards
Perform additional duties and special assignments as needed to support Cancer Center operations

Required

Bachelor's Degree or 2-3 years relevant experience
Valid Driver's License in good standing
Accurate typing ability of 45-50 words per minute with familiarity with business machines
Notary within 6 months of hire
