Administrative Assistant
Tucker Parker Smith Group is seeking an experienced Administrative Assistant II to support the Facility & Fleet Management team at a busy headquarters office in downtown Los Angeles. This role involves managing administrative tasks such as data analysis, preparing correspondence, and coordinating travel arrangements in a fast-paced environment.
Responsibilities
Research, gather, review, and analyze data; prepare data summaries and assist with reports
Prepare office correspondence, revise internal forms, and develop charts and graphs
Review, process, and track travel authorization requests and expense reimbursements
Make travel arrangements and prepare expense reports
Assist with preparation and coordination of annual budget documents
Review and process requests for payments and invoices
Maintain records including invoices, training records, electronic forms, and meeting documents
Support record retention and document management efforts
Perform other related administrative duties as assigned
Qualification
Required
Minimum of 5 years of experience using Microsoft Office (Word, Outlook, Teams, Excel)
Minimum of 5 years of experience processing invoices
One of the following: High school diploma or GED and 5 years of relevant experience
One of the following: Associate's degree and 3 years of relevant experience
One of the following: Bachelor's degree and 1 year of relevant experience
Two years in an Administrative Assistant I–level role within a similar organization
Administrative procedures and office systems
Data collection, report preparation, basic research, and analysis
Basic budgeting concepts
