Executive Legal Assistant

This role involves providing high-level executive support, managing professional licensing, and ensuring the efficient functioning of the Legal Department.

Responsibilities

Provide high level executive and administrative support to the General Counsel and various organizational tasks such as communications point of contact, calendar management, document preparation, travel coordination, and assist in tracking deadlines and deliverables
Drafting, organizing, archiving and maintaining all professional licenses: engineering, architecture, and contractors across business units
Develop and maintain a central licensing calendar covering all expirations, renewals, responsible individuals, statutory reporting deadlines, and planning for future expansion geographies
Maintain corporate files and records in line with Integra’s folder structure and document retention policies and practices
Support implementation of legal processes, workflows, and templates
Assist the legal department with matter preparation, including organizing exhibits, compiling binders, and conducting factual and legal research under supervision
Work with cross-functional leaders as required to achieve General Counsel directives

Required

5+ years of experience providing administrative, legal, licensing, or compliance support in a corporate legal department, law firm, engineering firm, construction firm, or similar regulated industry
Strong understanding of legal terminology and standard legal formats
Proficient in Microsoft Office Suite, Adobe Acrobat, and other general office equipment
Excellent written and verbal communication skills
Strong organizational skills and attention to detail
Ability to handle confidential information with discretion and professionalism
Knowledge of legal document structure including captions, verification, certificates of service, and notary blocks

Preferred

Bachelor's degree is preferred but not required depending on prior work experience
Previous experience managing professional licenses (engineering, construction, and/or architecture) is preferred
