Responsibilities

Act as the primary liaison between the Sponsorship and Marketing teams, ensuring smooth communication and collaboration
Attend key internal meetings in addition to weekly calls and provide regular updates on sponsorship-related marketing needs and timelines
Develop Milestone Moments and deadlines for all internal and external partners (sponsors & internally with Marketing Department)
Enforce clear creative asset deadlines, ensuring all sponsor materials are submitted and approved by predetermined deadlines set internally
Ensure Sponsors are represented in all available marketing assets across the festival including but not limited to website, email, social, onsite, press & media, paid media, concessions, ticketing, etc
Own the execution of all sponsor marketing deliverables and advance all necessary assets via predetermined methods shared by producing partners
Maintain a centralized tracker for all sponsor deliverables, deadlines, assets, and approval statuses
Collect, organize, and traffic sponsor marketing assets (logos, copy, videos, etc.) to the Marketing team timely and organized
Coordinate with the Social + Content Director on all approvals and scheduling for sponsored posts to ensure accuracy, timing, and brand alignment
Identify and communicate missing or incomplete information from sponsor submissions before tagging marketing team for mockups
Work with Marketing to ensure sponsor messaging is integrated into festival communications in a way that feels authentic and on-brand
Help develop co-branded content (social posts, email features, signage, etc.) and ensure brand guidelines are followed on all sides
Collaborate with internal creative teams to translate sponsor objectives into engaging, audience-first content
Identify opportunities for improving workflows between teams and suggest tools, processes, or schedules that will enhance collaboration
Coordinate onsite schedule for all social, beacon, push notification, live screen deliverables and more
Work closely with Marketing Department on approvals prior to being onsite for in-real-time deliverables and set up processes to receive in-real-time approvals during the Festival weekend
Execute and publish sponsored content during festival coordinating closely with the Social + Content Director to ensure accuracy, brand alignment, and timely delivery
Provide the Sponsorship team with real-time updates on post status, amplification codes, reporting metrics, and necessary edits or approvals
Support in building case studies, recap decks, and marketing reports that highlight sponsor activations and results
Track impressions on all deliverables, on all channels in real time. Be able to identify if assets are missing
Gather social, web, OOH and email impressions as the season progresses in a clear and concise tracker for all partner deliverables
Brainstorm and pitch creative brand integration ideas that respect the festival’s identity while providing value to sponsors

Required

2–4 years of experience in brand partnerships, social media, marketing coordination, event production, agency, or client services work
Passionate about live music, festivals, and brand storytelling, with experience supporting festivals or large-scale events
Strong communicator able to collaborate across marketing, sponsorship, and partner teams
Highly organized, proactive, and comfortable managing multiple timelines and stakeholders
Creative and detail-oriented, with an understanding of brand voice, audience, and partner deliverables
Knowledge of social media content trends (especially TikTok and Instagram), with design or copywriting experience a plus
Tech-savvy, with familiarity using social platforms, Meta tools, project management software (Asana, Airtable), Google Workspace/Analytics, Slack, and basic creative tools such as Canva or Keynote
