Administrative & Transtaction Services Assistant
Oregon Tilth, Inc. is seeking an Administrative & Transactions Services Assistant to provide support to the organization and visitors. This role involves handling various administrative tasks to ensure efficient office operations and positive interactions with clients and stakeholders.

Responsibilities
Providing excellent customer service by answering phones, assisting callers with basic certification questions, providing tools and resources, and directing/routing calls as appropriate
Assisting with the review and processing of transaction certificates by performing administrative checks for completeness, accuracy, and alignment with OTCO records
Supporting certification staff by gathering and organizing required documentation, verifying data entry, and maintaining accurate records within applicable systems
Providing administrative email inbox support, including routing inquiries, sharing required forms, and assisting clients with basic questions related to documentation requirements
Tracking receipt of supporting materials from clients and ensuring documents are uploaded, filed, and recorded appropriately
Assisting with monthly updates to the Finance Department by organizing billing information related to transaction certificates and supporting follow-up communications as needed
Helping maintain current training materials and procedures for transaction certificate workflows by updating administrative sections and supporting knowledge-sharing across teams
Demonstrating strong commitment to accuracy, professionalism, integrity, and customer service in all transaction certificate-related support tasks
Perform general administrative and clerical support, including document filing (electronic and paper), records maintenance, and document retention, purging, and shredding in accordance with policy
Manage office operations, including ordering supplies, maintaining office equipment, and serving as liaison with internal technical support and vendors
Coordinate incoming and outgoing mail and communications, including routing mail and faxes, large-scale mailings, certified mail tracking and uploads, mail merges, label creation, weekly invoicing, and distribution of client documents per established procedures
Maintain administrative systems and databases, including managing multiple email inboxes, keeping procedures current, entering client application data into the CRM, generating reports, and maintaining check issuance and payment logs
Support organizational operations, including Board meeting logistics, special projects, continuous improvement initiatives, and general office upkeep
Perform other related administrative duties as assigned
Qualification
Required
Two-year degree or minimum 2 years' equivalent work experience
Demonstrated attention to detail with a high level of accuracy
Strong verbal and written communication skills
Strong customer service skills
Strong organizational skills with a demonstrated ability to multi-task and be flexible
Understanding and commitment to handling sensitive information with discretion
Strong data-entry skills with a high level of speed and accuracy
Experience working within databases or Customer Relationship Management (CRM) systems, including entering, updating, and retrieving information
Ability to follow structured workflows and maintain accurate records across multiple systems
Comfort learning new software platforms and supporting data-driven processes (including basic support tasks related to transaction certificate processing)
Ability and commitment to work onsite in the Corvallis office daily
Proficiency in using office software (i.e. Microsoft Suite: Outlook, Word, Excel, PowerPoint)
Preferred
Experience with Customer Relationship Management programs
Experience or interest in certification, compliance, or administrative processing within regulated workflows is a plus
