Program Operations Manager
Temple Beth El is a vibrant Reform congregation in Charlotte, NC, committed to meaningful Jewish living. The Program Operations Manager leads event production and logistics for worship services and programs, ensuring high-quality experiences and effective team management.
Responsibilities
Serve as producer for worship, learning, engagement programs, events, and lifecycle/private events, ensuring logistics and operations are handled collaboratively and in an organized fashion
Create production plans and execute logistics, including room setup diagrams, supply lists, staffing plans, and run-of-show support
Coordinate with clergy, educators, congregational life staff, facilities partners, A/V, catering, and security based on established standards
Manage day-of execution and post-event reset with hospitality staff and volunteers
Support registration workflows and attendance tracking systems to ensure planning inputs are captured and shared appropriately
Manage private event rentals end-to-end, including inquiry response, calendar holds, coordination with renters and/or event planners, contracts, deposits/payments, required documentation, internal handoffs for production and staffing, and event closeout
Apply established policies consistently and escalate exceptions for approval
Recruit, hire, onboard, train, and supervise hospitality assistants for night/weekend programs and events
Build staffing schedules for hospitality assistants based on the event calendar and service levels
Maintain standard checklists for opening/closing, room turns, event operations, signage, hospitality sets, and post-event reset
Provide coaching and performance management to ensure consistent quality and reliability
Maintain par levels, organize storage and inventory changeover, and manage purchasing cycles for building/program/hospitality supplies
Ensure supplies are accessible, labeled, restocked, and in place for scheduled programs and events
Maintain building readiness visibility tied to the program and rentals calendar, including keeping TBE calendaring systems updated with assigned responsibilities
Act as TBE’s day-to-day liaison to facilities partners and event-related vendors (e.g., janitorial/custodial and kitchen support as applicable)
Submit requests, coordinate access, track progress, confirm completion, and escalate urgent issues appropriately
Coordinate event-related room turns and readiness standards in partnership with hospitality assistants, vendors, and internal stakeholders
Ensure event details are captured in the system early enough to execute well
Run a weekly production review meeting with key stakeholders
Maintain and improve templates/checklists and build institutional consistency
Qualification
Required
3+ years in event/program operations, hospitality management, congregational operations, higher ed events, or similar
Proven ability to manage part-time staff and schedules
Strong operational planning skills: checklists, timelines, vendor coordination
Calm, organized presence on-site; excellent customer service instincts
Strong collaboration and communication skills under pressure
Comfort with systems/tools (calendar, work orders, forms/workflows, IT and A/V tools and equipment)
Ability to move throughout a large campus/building to support event and program needs
Ability to lift and carry items such as boxes of supplies, chairs, tables, signage, and equipment, typically up to 25 lbs and occasionally up to 50 lbs (with or without reasonable accommodation)
Ability to stand for extended periods and work on evenings/weekends during programs and events
Ability to bend, stoop, reach, and use stairs as needed for room setups and event readiness
Ability to work in environments with varying noise levels and activity (e.g., worship services, receptions, classrooms, and large events)
