Senior Coordinator, Program Management - San Antonio, TX

Responsibilities

Assists with daily operations of one or more education programs (fellowship, residency, clerkship, etc.)
Serves as primary liaison for GME interactions with internal departments, UME/GME offices, external agencies, and trainees
Provides administrative support to program directors and faculty, including scheduling, correspondence, maintaining calendars, ordering supplies, and organizing materials
Manages and maintain MS4 elective rotations at CHRISTUS Children’s
Oversees all aspects of trainee recruitment, interview coordination, and applicant communication
Manages onboarding and offboarding, including event planning for orientation activities
Monitors program activities to ensure accreditation compliance with ACGME/TMB and other oversight entities
Tracks, creates, and maintains documentation of training and educational activities—lectures, rotations, evaluations, work hours, and schedules
Tracks licensing, contracts, certification, credentialing, and Program Letters of Agreement across training sites
Administers evaluations and schedules in MedHub, ensuring timely collection and reporting
Assists with program budget planning and monitor operational budgets in partnership with financial staff
Supports GME team operations and provide coverage during staff absences
Performs other job-related duties as assigned

Required

High School diploma or GED
Four years of relevant experience
Strong professionalism, organization, and independent judgment
Assists with daily operations of one or more education programs (fellowship, residency, clerkship, etc.)

Preferred

Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Experience with MedHub, Concur, or similar systems
Highly organized, detail oriented, and able to manage multiple priorities and deadlines
Demonstrates flexibility, initiative, and problem solving skills
Experience in academic medicine, healthcare and/or hospital setting
Strong operational skills and ability to gain the confidence of faculty, staff, leaders, colleagues, etc
Previous credentialing experience a plus
