Responsibilities
Initiate and manage the accounts payable approval workflow
Set up and maintain vendor records, including electronic filing of onboarding packets and contracts
Review incoming mail and scan invoices into the A/P approval system
Perform two-way and three-way matching of vendor invoices
Batch ACH payments for CFO review and approval
Enter payments and prepare check runs
Scan and reconcile American Express charges with supporting vendor documentation
Assist accounting team members with monthly close activities and annual audit preparation
Enter vendor bill records for credit card charges related to fixed asset purchases
Ensure all accounts payable processes comply with GAAP policies and internal controls
Qualification
Required
Associate's degree in Accounting or equivalent relevant work experience
3-5 years of Accounts Payable experience
Strong working knowledge of GAAP
Excellent written and verbal communication skills
Strong analytical, problem-solving, and reconciliation skills
Effective time management with the ability to meet deadlines in a fast-paced environment
High level of accuracy, organization, and attention to detail
Proficiency in Microsoft Excel and Outlook
Experience using ERP and accounting software systems
Preferred
Experienced A/P professional who enjoys solving problems and improving processes
Quick learner who adapts easily to new systems and workflows
Comfortable asking questions when clarification is needed — accuracy is the priority
Self-motivated, reliable, and accountable for results
Collaborative team player who supports broader accounting initiatives
