Office/Personal Administrative Assistant

Responsibilities

Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks and record keeping
Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives
Support office management activities such as supply ordering, mail handling, and record maintenance
Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette and customer service skills
Assist with bookkeeping tasks including invoicing, billing, and basic financial record keeping
Maintain organized files both digitally and physically to facilitate easy retrieval of information
Support personal assistant duties as needed, including travel arrangements or special project coordination

Required

Proven experience in an office environment with clerical or administrative responsibilities
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional communication skills, both verbal and written; bilingual abilities are a plus
Experience managing multi-line phone systems and providing high-quality customer service
Attention to detail with proofreading and document editing capabilities
Ability to handle confidential information discreetly
Strong time management skills with the ability to multitask efficiently in a fast-paced environment

Preferred

Familiarity with QuickBooks or similar accounting software is preferred
Previous experience in medical or dental receptionist roles is advantageous but not required
