AP Payroll Clerk

The Accounts Payable Clerk will be responsible for processing invoices, managing vendor communications, and ensuring compliance with accounts payable policies.

Responsibilities

Code and process incoming invoices approved by program or administrative staff
Ensure compliance with accounts payable policies and procedures
Review, code, and post employee expense reports
Post invoices into the accounts payable system for weekly payment processing
Communicate with vendors and agency staff regarding invoices, payments, balances, and account issues
Maintain a high level of customer service in all communications
Follow up on outstanding invoice or documentation issues
Prepare and process weekly payment runs, including checks, ACH, and record transfer payments
Print and distribute payments once approved
Address questions and resolve issues identified by the Controller or CFO during payment review
Maintain the accounts payable email inbox in coordination with the AP Team
Analyze large vendor spreadsheets in Microsoft Excel; manipulate data for accurate posting
Create employee profiles in the expense reporting system and issue purchase cards
Maintain and update vendor database, including 1099 information
Prepare accounts payable reports such as posting journals and aged payables
Prepare AP records for proper scanning, filing, and retention
Prepare and process bank deposits
Ensure compliance with applicable laws, regulations, and agency procedures

Microsoft ExcelERP accounting systemsAccounts Payable experienceCommunication skillsData analysis

Required

Bachelor's Degree in Accounting or Finance preferred with at least 1 year of related experience; OR
Associate's Degree in Accounting or Business with at least 2 years of Accounts Payable experience; OR
Equivalent relevant experience considered
Proficiency in Microsoft Excel is required
Strong computer literacy and comfort with accounting/ERP systems
Ability to analyze spreadsheets and prepare accurate financial entries
Strong verbal and written communication skills
Ability to work effectively with agency staff, vendors, and financial institutions
Ability to work autonomously and as part of a team

Preferred

Experience with electronic P.O. systems, ERP accounting systems, and purchase card programs preferred
